2. Service Categories

2.1 Project-Based Services

For custom software development, AI integration, and cloud migration projects:

  • Refunds are evaluated on a case-by-case basis
  • Refund eligibility depends on project stage and deliverables completed
  • Milestone-based payments are non-refundable once the milestone is approved
  • Initial consultation and discovery phase fees are non-refundable

2.2 Consulting Services

Consulting hours and advisory services are non-refundable once the session has been conducted or scheduled within 48 hours.

2.3 Subscription Services

For ongoing maintenance, support, or subscription-based services, refunds may be provided on a pro-rata basis for unused periods, subject to the terms of the service agreement.

3. Refund Eligibility

3.1 Eligible Circumstances

Refunds may be considered in the following situations:

  • Service not delivered as per the agreed specifications in the contract
  • Significant delays caused solely by Heksync beyond agreed timelines
  • Technical issues that prevent service delivery and cannot be resolved
  • Cancellation before project commencement (subject to cancellation fees)

3.2 Non-Eligible Circumstances

Refunds will not be provided in the following cases:

  • Change of mind or business direction after project commencement
  • Delays caused by client-side factors (late feedback, resource unavailability)
  • Dissatisfaction with delivered work that meets agreed specifications
  • Third-party service failures beyond Heksync's control
  • Completed and approved project deliverables

4. Refund Request Process

4.1 How to Request a Refund

To request a refund:

  1. Contact us at team@heksync.in with your refund request
  2. Include your project details, invoice number, and reason for refund
  3. Provide supporting documentation if applicable
  4. Allow 5-7 business days for initial review

4.2 Review Process

Our team will review your request and may contact you for additional information. We will provide a decision within 10-15 business days of receiving all necessary information.

5. Refund Amounts and Processing

5.1 Partial Refunds

If a refund is approved, the amount will be calculated based on:

  • Work completed and delivered
  • Resources allocated to the project
  • Time invested by our team
  • Third-party costs incurred

5.2 Processing Time

Approved refunds will be processed within 15-30 business days. The refund will be issued to the original payment method used for the transaction.

5.3 Processing Fees

Payment processing fees (typically 2-3% of transaction amount) are non-refundable and may be deducted from the refund amount.

6. Cancellation Policy

6.1 Before Project Start

Cancellations made before project commencement may be subject to a cancellation fee of 10-25% of the total project value to cover administrative and planning costs.

6.2 During Project Execution

If you wish to cancel during project execution, you will be charged for:

  • All completed work and deliverables
  • Work in progress (pro-rated)
  • Non-refundable third-party costs
  • A cancellation fee as specified in the service agreement

6.3 Notice Period

We require a minimum of 7 days written notice for cancellations. Cancellations without proper notice may result in additional charges.

7. Dispute Resolution

If you disagree with our refund decision, you may request a review by our senior management team. We are committed to resolving disputes fairly and professionally. If a resolution cannot be reached, disputes will be handled according to the dispute resolution process outlined in our Terms and Conditions.

8. Exceptions

This refund policy may be superseded by specific terms in individual service agreements. In case of conflict, the terms in the signed service agreement will take precedence.

We reserve the right to modify this Refund Policy at any time. Changes will be posted on this page with an updated revision date. Continued use of our services after changes constitutes acceptance of the modified policy.
